Summary of Job Responsibility
The Corporate Governance & Compliance Clerk working within established policies and using their own initiative to assist the Corporate Governance & Compliance Supervisor with providing professional, efficient, customer-oriented, accurate and flexible administration and provide secretarial work to support the Corporate Affairs Manager, Factory General Manager and others as may be designated from time to time, to meet the needs of the Corporate Affairs services function.
This will include working with the function’s members to efficiently deliver routine administrative support the organization’s Corporate Affairs, reporting, planning and risk management arrangements.
In addition, they will contribute other ad-hoc administrative duties, always in a courteous, friendly and efficient manner. And often privy to confidential information and must handle the information with discretion.
Duties and Responsibilities
1. Providing a good administrative and secretarial support to the Corporate Affairs Manager and Supervisor in the function as instructed.
2. Coordinating and booking travel and accommodation requirements for specified the Corporate Affairs Manager and Supervisor in the function as instructed.
3. Coordinates and prioritises all incoming and outgoing correspondence and drafting basic correspondence for the Corporate Affairs Manager in the function as instructed.
4. Coordinates the schedule of the Corporate Affairs Manager and Supervisor in the function as instructed.
5. Assist Corporate Governance & Compliance Supervisor for tracking & reporting of new regulations to ensure the company aware of any changing in regulation requirement.
6. Assist Corporate Governance & Compliance Supervisor for prepare and maintain regulations.
7. Assist Corporate Governance & Compliance Supervisor in preparing the Control Self-Assessment.
8. Assist Corporate Governance & Compliance Supervisor in preparing Risk Management repot.
9. Assist Corporate Affairs Manager in coordinating activities and administrative work of Compliance Secretariat including its promotional activities
10. Assist Legal Supervisor in order to implement and maintain the legal administrative filing system by develop system and coordination with Corporate Secretary and others Corporate Affairs members.
11. Assist Legal Supervisor to assure all corporate document and/or permission are valid and comply with prevailing regulation by monitoring the validation of corporate document and permissions and also evaluate them whenever found new rules and regulation.
12. Assist Legal Supervisor to contact 3rd party (such as: public notary, government office, broker, agent, etc.) in the framework of legal activities.
13. Keep and maintain Minutes of Meeting BOD, BOC & Shareholder Meeting as Corporate Confidential Documents.
14. Coordinate with Secretary of President Director in arrangement of all BOD, BOC and Shareholders Meetings and related aspects to ensure the meeting is well organized.
15. Communicates information relating to function’s services and or activities within and outside the organisation as requested.
16. Secretary jobs to Factory General Manager ;
a. Perform routine secretarial and administrative functions such as scheduling and confirm appointments of event calendars of Factory General Manager, including for conferences, meetings; travel reservations including arranging flights, car rental and hotel accommodations; arrange and maintain membership and;
b. Other general administrative tasks may include answering phones, organizing and maintaining files, photocopying, coordinating conference calls and typing correspondence, or providing information to callers.
c. And to perform other jobs or task which may be assigned by the Factory General Manager.
17. Others administrative support :
a. Support the collation of agenda and information for meetings and prepare for other activities undertaken by the Manager Corporate Affairs and Supervisor in the function as instructed in an orderly and timely manner.
b. Supports coordination in organisation events, i.e. meeting, press conferences, events which may include large groups of media or public. This includes rooms arrangement, inviting delegates, travel arrangements, venues, and circulating papers and practical co-ordination of the event “on the day”, and if necessary using problem solving skills where unexpected problems may arise.
c. Work with administration colleagues to coordinate annual leave record to ensure ensuring appropriate cover is in place.
d. Arrange and maintain payments vouchering of Corporate Affairs and Factory General Manager operational based on SAP system.
e. Assist in preparing data in making annual budget of Corporate Affairs, and in making budget report base on annual budget plan and program, in order suitable effectively and efficiency function activity.
f. Administering record and filling arrangement of updating all functions operational procedures and get an accuracy data base on filing system standard in order to ensure whether functions procedures are updating, check, review and controlled effective and efficient.
g. Execute and participate 5S activity of function in order to achieve QSHE of the Company.
